Is an AI receptionist right for my clinic?
For dental clinics, a dental AI receptionist can handle phone booking, rescheduling and cancellations.
It’s a great fit if:
- You sometimes miss calls – especially when the reception is busy with patients on site or after hours.
- Many phone calls are simple and repetitive (“I’d like to book a check-up”, “Do you have any earlier appointments?”, “How much is a hygiene / filling / consultation?”).
- You or your team feel that phone calls disrupt work, create chaos in the schedule, and take time away from patients in the chair.
- You struggle with no-shows and unconfirmed visits, and would like automated reminder calls or SMSes.
- You want to offer better phone availability, (evenings, Saturdays, holidays), but don’t want to hire additional reception staff.
It’s not for you if:
- You never miss calls and patients are happy with your current phone availability.
- Most phone conversations are long, complex medical consultations that always need to be handled directly by a doctor.
- Phone calls take little time and don’t really disturb your daily workflow.
- You don’t plan to grow or attract new patients and are fully satisfied with your current appointment load.

Our AI receptionist – key features for dental and medical clinics
Here’s what our AI voice assistant can do to streamline phone calls, appointment scheduling, and patient communication in your clinic or practice.
- The AI receptionist picks up unanswered calls 24/7, even several at once. Your operator can forward only calls you don’t answer to the bot.
- She understands the patient’s problem through natural conversation and talks like a human, not some old-generation banking bot. She listens to what the patient is saying and recognises whether it’s pain, an emergency visit, a check-up, hygiene, root canal treatment, a specialist consultation, or just an organizational question—without rigid “press 1, press 2” menus.
- The AI receptionist books appointments directly into your calendar (for example, Google Calendar or your booking system). Handles common booking requests over the phone - no waiting on hold, no manual coordination needed.
- Calls dashboard. You can review all the calls, their summaries, and recordings in your Google Sheet or a custom dashboard.
- The voice assistant reschedules appointments when patients need to change the date or time. Helps you keep the schedule full instead of ending up with empty gaps.
- Cancels appointments at the patient’s request. Instantly frees up time slots in your schedule.
- Calls patients to confirm their appointments. This significantly reduces no-shows and last-minute gaps.
- The AI receptionist provides basic information: opening hours, address, parking, payment methods, main services and prices, preparation for visits (e.g. fasting, bringing test results, child preparation).
- Transfers calls to a human receptionist when needed. When calls require a human touch, the voice assistant forwards them and briefly explains the reason for the call.
- The AI assistant stays on the safe side. She doesn’t diagnose or replace medical professionals – she focuses on bookings, schedule changes, and clear, pre-approved information from your knowledge base.
How we’ll build your dental AI receptionist
A clear, step-by-step process – with a real person on our side and a tailor-made AI assistant on yours.
1. Discovery & scope (2–5 days)
- A short call to understand how you work: number of doctors and chairs, types of visits, current booking process, and any software you use.
- We prepare and send you a Scope & Agreement document – a clear list of what the AI assistant will and will not do.
- You send us your list of services / price list and, if needed, typical call scripts for your reception.
- We agree on a one-off setup fee (depends on the scope) and a monthly subscription (based on expected minutes per month).
2. Tailor-made agent build and setup (2–4 weeks)
- We sign the agreement, and you pay the initial deposit.
- We set up access, for example to your Google account and any other tools you use (calendar, booking system, CRM).
- We build a custom AI agent for your clinic, handling your services, common questions, booking rules, and opening hours.
- We configure phone number routing and integrations with your calendar, system, or email and choose language, voice, and tone that match your patients.
- From the beginning we take GDPR and medical data privacy requirements into account.
3. Your tests (1 week)
- We give you a real phone number where your AI assistant is already working.
- You and your team call this number, try typical scenarios, and see how it behaves.
- You send us feedback in an agreed format: what should be changed, simplified, or added.
- We refine the agent and run short iteration cycles until you’re happy.
4. Go-live in your phone system
- We create a new phone number for the AI assistant.
- You can redirect only missed calls or all calls after a certain number of seconds from your main number(s).
- You give us a backup number. When a patient says “I want to talk to a human / to reception”, the agent forwards the call there.
- We set basic failover rules so that if the AI is temporarily unavailable, calls are still handled, for example via standard forwarding or voicemail.
5. Ongoing care and improvements (1 - 2 months)
- We do not leave you alone with the assistant. Customers are creative and the AI must handle that well.
- During the first one to two months we regularly listen to recordings, adjust the agent and test changes, and we inform you what we have improved.
- We keep an eye on call quality, booking rates and typical problems and suggest further optimisations.
- You can end the agreement at any time with one month’s notice, without long-term lock-in.
Benefits of using an AI assistant in your clinic or practice
Discover how an AI receptionist and dental voice AI automation help clinics and practices increase revenue, reduce missed calls and no-shows, cut costs, and deliver 24/7 patient service — without hiring more staff.
- 24/7 patient service. The AI voice receptionist answers calls day and night — even on weekends — and can handle multiple calls at once, which drastically reduces missed calls and increases the number of booked appointments.
- Higher efficiency for your reception. The AI assistant automates repetitive tasks like booking, rescheduling, cancellations, providing basic prices and service info, or explaining how to prepare for a visit – reducing errors and freeing up your team to focus on patients on site.
- Lower operating costs. The monthly cost of a voice AI receptionist is a fraction of a full-time receptionist’s salary – with no sick days, holidays, or onboarding needed.
- Consistent patient experience. The voice bot always answers quickly and in the same polite and helpful way – no bad days, no stress, no rushed conversations.
- Proactive communication. The AI receptionist can remind patients about upcoming visits, ask them to confirm, inform them about changes, or send links for leaving online reviews – helping you keep the schedule full and grow reputation on Google and local portals.
- Fewer no-shows and empty slots. Automated reminders and easy rescheduling make it much easier for patients to update or cancel their visit in time, instead of simply not showing up.
- More new patients. Thanks to better phone availability and quick answers to simple questions, more people actually book an appointment instead of giving up after a few unanswered calls.

Frequently asked questions about our voice AI for clinics
Will my patients be unhappy that they are talking to a bot?
Most patients don’t care whether they are talking to a human or an AI, as long as their issue is resolved quickly. The assistant uses a natural, human-like voice and normal sentences, not “press 1, press 2” menus. She listens, understands what the patient needs, and either books, cancels, or reschedules an appointment; answers a basic question; or transfers the call to your team when needed.
Do I have to change my phone number?
No. You keep your current phone number, the one already known to your customers. We set up a new internal phone number for you and you redirect only missed or rejected calls to this number. On this new number, the AI assistant operates. You can cancel or change the call forwarding at any time.
Can the AI voice bot handle complex medical cases?
The assistant is designed to handle typical, repetitive calls: booking, rescheduling, cancellations, basic questions about services, prices, and visit preparation. It doesn’t give medical advice and doesn’t replace a doctor.
In more complex or unusual situations, it can transfer the call to a human and briefly explain why the patient is calling. You decide which topics should always go to a person. The assistant is also trained on your website and internal knowledge base so that it can answer organisational questions based on your content.
How much does it cost?
The cost depends mainly on the agreed scope and your call volume. There is a one-off setup fee for preparing a custom assistant for your clinic, which depends on your bot complexity and integrations with your software and 1–2 months of support, and a monthly subscription based on expected minutes per month.
For most small and medium clinics, the monthly cost is only a fraction of a full-time receptionist’s salary, while the assistant can work 24/7 and handle many calls in parallel. During our first call, we provide a clear estimate tailored to your situation.
How long does it take to launch?
A first working version is usually ready in one to four weeks. This includes understanding how you work, preparing the agent, configuring phone routing, and doing initial tests. The exact time depends on how complex your services and existing systems are and how quickly we receive the necessary information from you.
What happens if the AI does not understand something or makes a mistake?
The assistant is trained to ask follow-up questions, repeat or confirm information instead of guessing. If it still cannot handle the situation, it can offer to transfer the call to a human. We also regularly review real call recordings, especially in the first weeks, and use them to improve the agent so that the same problem does not repeat.
What happens if the AI receptionist is unavailable or there is a technical problem?
In addition to the AI assistant, we can agree on a simple backup scenario on the phone level, for example redirecting calls to your standard number or to voicemail when the assistant is unavailable. The exact setup depends on your current phone system and provider and is discussed during the implementation phase.
What if I want to stop using the AI assistant?
You stay in control. You can end the agreement at any time with one month’s notice. Your phone number continues to work as before, and you can go back to handling calls fully on your side. There are no long-term contracts that lock you in for years.
